Pros: Our business goes from zero to 300+ rentals a day once ski season hits, and EquipDash handles the volume without breaking a sweat. The online pre-booking has cut our morning wait times in half — guests fill out their sizing info ahead of time and we have their gear pulled before they walk in. The inventory tracking is critical for us because we need to know exactly which skis are out, which came back damaged, and which are due for a tune. The maintenance scheduling feature means nothing slips through the cracks. We also love the seasonal planning tools since we can adjust pricing and availability for peak weeks vs. shoulder season in minutes.
Cons: The reporting is solid but I wish I could build more custom date-range comparisons — like this December vs. last December side by side. I end up exporting to a spreadsheet for that kind of analysis. Also the system doesn't have a native way to handle our lodge delivery service, so we use a workaround with booking notes, which works fine but isn't ideal.
Overall: We switched from a legacy POS system that was built in the early 2000s and the difference is night and day. EquipDash feels modern and our seasonal staff can learn it in about 20 minutes. The multi-day rental packages were easy to set up and the automated return reminders have reduced our late returns significantly. We process a few thousand rentals per season and haven't had a single double-booking. The Dash AI agents are great for our daily morning briefings — we get an automated summary of the day's bookings and any flagged equipment issues before we even open the doors.

Pros: We're a hybrid business — part tour operator, part rental shop — and EquipDash is one of the only platforms that handles both sides without forcing us into two separate systems. Our guides can see their tour roster on the mobile app, and our front desk can rent out bikes for the day from the same dashboard. The guest manifests are a huge time-saver. We also connected it to our Stripe account and the payment processing just works. The booking widget on our site matches our brand and the conversion rate has been noticeably better than our old form-based booking.
Cons: We run self-guided tours where we hand over a GPS device and a printed route — EquipDash doesn't really have a concept of "self-guided" as a tour type, so we set it up as a rental bundle instead. Works fine but feels like a workaround. Also, we'd love tighter integration with Google Reviews so we could automatically prompt guests to leave a review after their tour.
Overall: Been on it for about a year. It replaced Peek for our tours and a separate spreadsheet system for bike rentals. Having everything unified has made our operations much smoother, especially when we need to pull reports or check availability across both sides of the business. The staff scheduling features are helpful for our 8 part-time guides. Support team has been great — they helped us set up custom fields for tracking bike sizes and frame types, which wasn't obvious at first. I'd recommend it to any tour company that also rents gear.
